There are no minutes ready for approval at this meeting.
Ray will circulate outstanding draft minutes from previous meetings in the next few days, so that they may be taken under consideration at one of the longer meetings to come later this month.
2. Tool Development Award
=========================
Ray stated that AMS is being requested to replace Perl CGI scripts for managing
biweekly IESG telechat with a python tool that includes creating new
telechat sessions, managing agendas, documenting ballots, and
managing attendance.
This work will belong to the IETF Trust and would be conveyed to the
next vendor whenever appropriate.
Cost: Not-to-exceed
The project falls within the IT Capital Investment 2011 Budget
The Tools Management Subcommittee of Henrik, Russ, Bob and Ray recommends the Work Order be issued.
Ray presented a draft resolution:
The IAOC approves AMS to develop a tools that manages Telechat
Sessions using python code at a cost not to exceed
and requests the Internet Society to enter into a
Work Order with AMS to effect the project.
Bob moved the resolution, Marshall Eubanks seconded the motion. The motion was approved unanimously on a roll call vote.
3. Secretariat Award
Ray reported on the Secretariat RFP process.
1. The Secretariat Services RPF was announced on 10 June 2011
2. Proposals were received on 8 August 2011
3. The RFP Committee of Russ, Bob, Dave and Ray reviewed the proposals
and conducted presentation and interview sessions with the bidders.
4. The RFP Committee recommends the IAOC authorize negotiations with
the incumbent, AMS, based upon its performance and proposal.
Ray provided a draft resolution.
Resolution:
The IAOC approves the award of the Secretariat Services contract to AMS,
subject to successful negotiations and requests the Internet Society to enter
into negotiations with AMS for subsequent approval and final award by the
IAOC.
Bob Hinden made the motion and Marshall Eubanks seconded.
Discussion ensued concerning the cost of the service and Ray gave a breakdown of the costs including the RFC Publisher, AT&T broadband and the addition of support to the IAB.
A roll call of meeting attendees yielded unanimous consent, and the motion to proceed was approved.
4. 2012 Budget

Ray presented an overview of assumptions underlying the 2012 Budget to date.
Budget will be adopted by IAOC on 22 September. Still a work in progress with Budget Committee.

However, not always able to negotiate for each hotel, and Asia seems particularly intransigent

No charge if cancelled up to 7 days prior
1 night's charge if cancelled between 7 and 3 days prior
Charge for entire stay if cancelled less than 3 days prior

Individuals may cancel reservations without penalty until 72 hours prior to checkin/arrival. In case of cancellation less than 72 hours prior to the event or nonarrival or no-show, the Hotel holds the right to charge the individuals a late
cancellation charge equivalent to the full duration of the stay booked.
