Minutes ========== Ray reported that the 2012-11-07 minutes had been reviewed on the mail list and there were no modifications recommended. However, the 2012- 11-29 minutes needed some language that the IAD would work on. Scott made a motion to approve the 2012-11-07 minutes, Bob seconded. Without objection the 2012-11-07 minutes are accepted. 2. Bits-N-Bites in 2013 ================= The revenue for Bits-N-Bites in Vancouver was $67,500, while food and beverage costs were $36,600. The revenue in Atlanta was $62,500, while food and beverage costs were $41,100. The IAD presented the budget for Bits-N-Bites in 2013. Based on the attendance in Atlanta, the assumed number of attendees for each Bits-N-Bites at the IETF meetings in 2013 is 700. The IAOC decided not to vote on a resolution approving the Bits-N-Bites events and a proposed budget for the IETF meetings in 2013 just yet. There is consensus that the IAOC favors continuing Bits-N-Bites next year, but the IAOC will not finalize the budget presently. The business of approving Bits-N-Bites for next year and its budget will be taken up in the coming January call after some discussion on what the numbers should be, including Ray speaking with Drew Dvorshak. 3. IETF Meeting Dates 2018 - 2022 ============================ On Nov 20, a Second Round request for Community Input was announced. Comments were due by 4 Dec 2012. No additional comments were made. A change was proposed to IETF 110, which had been scheduled fort 21 - 26 March 2021. It was noted that those dates conflicted with a major religious holiday. As this will impact travel the IAOC recommended a change to 7 - 12 March 2021. Without objection, the dates for the 2018-2022 IETF Meeting Calendar were accepted. 4. IAOC, Trust Website Makeover Proposal ================================== Ray reported the TMC requested AMS to provide a proposal to perform a makeover on the IAOC and IETF Trust web sites. Work to consist of redesigning some of the pages, fixing or eliminating broken links, ensuring all pages were consistent, and IETF site design style. AMS is under contract to perform duties as the Secretariat for the IETF and Article 6 permits the assignment of Additional Work through a Work Order. The proposal cost is . The funds are available in the 2013 Capital IT Budget for the project. The TMC recommends IAOC, Trust Website Makeover be awarded to AMS at . Resolution: The IAOC approves AMS to do the IAOC and Trust websites makeover at a cost not-to-exceed and requests the Internet Society to enter into a Work Order with AMS to effect the project. In response to a question Ray said the cost includes the 10% reserve in case a some additional changes need to be made. Scott moved and Russ seconded the motion to approve the resolution. IETF 93 ======================= Finalizing IETF 93 is taking longer to do, mostly because of hotel staff. We have someone now we are talking numbers with. We told them we want this done by the end of the year. We are confident that is what is going to happen. 6. Hosts and Sponsors 2013 ======================= Ray reported on the progress of an IETF Support Multi-Year Agreement with a major supporter of the IETF. For the Orlando IETF, Comcast and NBC Universal are co-hosting. Brighthouse is providing connectivity and NBC Universal is also providing the Welcome Reception. Polycom has come in as a sponsor of the Ice Cream Social at a value of . For Berlin, we do not have a host but we have the multi-level sponsors. DENIC has come in as Platinum sponsor and Eurid as Gold. There is a promising candidate to provide connectivity and Eurid is sponsoring the Welcome Reception. For Vancouver, a host is needed. The Hyatt is covering the Welcome Reception at a value of . The Hyatt is also picking up the First Timersâ Meet & Greet and a Break. For London, we are currently speaking to one company. 7. Network Services RFP =================== The proposals for the Network Services RFP are due 17 Dec. TMC Proposal Review Period is 17 December, “ 9 January. It probably we will wind up with 1-3 proposals. There could be more than one contract award as the contract is an IDIQ contract. The IAOC selection for negotiation is planned for 17 January followed by contract negotiations and agreement on 14 February. The contract(s) will commence 1 March. 8. 2013 IAOC, Cmte meeting dates =========================== Bob Hinden sent the IAD comments on the calendar meeting dates. The comments regarding the ISOC Board of Trustees conflicts were incorporated, the IAD will revisit the notes to make sure all suggested notes have been incorporated and send out the revised 2013 dates to the list. 9.
